Tuition Refund

Student Account Refunds

To request a refund for a credit balance on your student account please submit a Service Hub Request  and include your current mailing address.
All refund cheques will be mailed to the address provided. Pick-up can be arranged for students living on campus. Allow up to 8 weeks for processing.
Please note:

  • A credit becomes available for refund after the tuition and fees are no longer pending for the current semester.  This is approximately one week after the semester add/drop date but may vary by program.

  • Once the billing for a semester has opened, any credit will automatically be applied as payment and is no longer eligible for a refund.

  • Online banking, cheque, and PLASTIQ payments are refunded by cheque and are made payable to the student ONLY.

  • Any payments received by FLYWIRE are sent to FLYWIRE to be refunded to the originating account where payment was initially sent from. There is a $15 processing fee for all wires that will be deducted from the approved refund amount.

  • Credits resulting from sponsorship or scholarships and grants may not be eligible for a refund and will be reviewed on an individual basis.

  • International student deposits are subject to the refund policy signed at the time of admission.

*Credit balance of $25 or less on non-current student accounts are removed from the account after 12 months if a refund has not been requested. These funds are made available to the TWU Financial Aid Office for use as an award to current students with financial need.


Course Withdrawal

Undergraduate Studies

Fall & Spring Semesters

Weeks 1 & 2

Courses can be dropped by the student during the first 2 weeks of the semester for a full refund of tuition and course fees. Deadline is 4:00 p.m. of the semester Add/Drop date, as published in the Academic Calendar.


Weeks 3 to 6

Courses withdrawn during Weeks 3 to 6 of the semester will receive a pro-rated refund of tuition based on the date of withdrawal, and the registration changes must be done by the Office of the Registrar. There is no refund for class, activity, or student association fees after Week 2 of the semester. 
Tuition Refund Percentage:
Week 3             70 %
Week 4             60 %
Week 5             50%
Week 6             40%   

  
Weeks 7 to 11

During this period, courses can only be dropped due to severe extenuating circumstances after approval by the Registrar. These courses are not eligible for a refund.


Summer Sessions

Students are eligible for a 100% refund up until the first day of class.
No refunds will be issued after the first day of class. 
No refunds will be issued for course fees, camp fees, or retreat fees after June 28.

Graduate Studies (Select Programs)

The following refund schedule is applicable to Graduate Programs in:

  • Business Administration
  • Education
  • Leadership
  • Nursing (start date prior to Sept 1, 2017)          

All Semesters

Students may drop a course up until the first day of class and receive a full refund. After the first day of class, no refunds will be issued.


Graduate Studies (Select Programs) & all ACTS Students

The following refund schedule is applicable to Graduate Programs in:

  • Biblical Studies
  • Counselling Psychology
  • Interdisciplinary Humanities
  • Linguistics
  • Nursing (start date later than Sept 1, 2017)
  • TESOL
  • All ACTS programs

Full Semester Courses

Weeks 1 & 2

Courses can be dropped by the student during the first 2 weeks of the semester for a full refund of tuition and course fees. Deadline is 4:00 p.m. of the semester Add/Drop date, as published in the Academic Calendar.

Modular Courses

For dropping a modular course (i.e. late course start date, shorter duration): Please contact the Registrar’s Office Help Desk.

Condensed courses (5+ weeks) may qualify for the following pro-rated refund schedule:

Week 1             100%
Week 2               70%
Week 3               50%
Week 4+               0% 

*The above refund schedule is not eligible for all courses. Refund percentage is dependent on the course length and program. Please contact the Office of the Registrar to confirm your refund percentage eligibility.


Withdrawal from the University

Undergraduate

Contact the Student Life Office (StudentLife@twu.ca) in the Reimer Student Centre to fill out the ‘Withdrawal from University’ form and Course Withdrawal form. Student Life will work with the Office of the Registrar to calculate refunds based on the withdrawal date and the respective standard refund policy that applies to the situation. 

Graduate & ACTS

Contact your Graduation Director and the Office of the Registrar to initiate the withdrawal process. The date the request has been received by the Office of the Registrar will be used for calculating refunds as per the regular refund policies.
